Privacy notice
How we handle your information.
This notice covers the OpenRooms website and waitlist. When membership opens, we'll ask for more information to verify your identity, and we'll give you a separate notice for that before we collect it.
Effective [EFFECTIVE DATE] · Version 1.0
The short version
- We collect only what we need to run the waitlist and plan for membership.
- We don't sell your information or share it for anyone else's marketing.
- We don't use advertising or tracking cookies.
- You can leave the list, see what we hold or ask us to correct it at any time.
Who we are
OpenRooms is a proposed cooperative being organized under British Columbia's Cooperative Association Act. It is not yet incorporated. Until it is, [RESPONSIBLE PARTY] is responsible for the information collected through this website. When the cooperative is incorporated, responsibility moves to the cooperative, and we'll tell you when that happens.
We follow British Columbia's Personal Information Protection Act and, where it applies, Canada's Personal Information Protection and Electronic Documents Act.
What we collect, and why
| What | Why we ask |
|---|---|
| Your name, and the name you'd like us to use | To keep one place for you on the list and to address you properly. |
| Email address | To tell you about the waitlist and when membership opens, and to send news if you ask for it. |
| Province or territory | Membership can only be offered where it is allowed. We use this to contact you only once it can be offered where you live. |
| Whether you're an individual or an organization, and an organization's name and your role | Organizations join through a representative, and their membership process is different. |
| Confirmation that you've reached the age of majority | Only adults can hold a membership share. We record a yes, not your date of birth. |
| The tier you're considering (BC residents only) | To help us plan. It doesn't commit you to anything. |
| Your email choices and the date you made them | The law requires us to keep a record of your consent. |
| Basic technical data, such as IP address and browser type | Our hosting provider records this to keep the site running and secure. We don't use it to track you. |
We won't use your information for any other purpose without asking you first.
Who can see it
Only the people organizing OpenRooms who need it to run the waitlist. We also use service providers to host the website and send email. They handle your information only on our instructions and must protect it. Some of them may store or process it outside Canada, where it could be subject to the laws of that country.
We'll disclose information without your consent only where the law requires or allows it.
How long we keep it
We keep your waitlist details until you leave the list, or for 12 months after membership opens if you haven't joined by then. After that we delete them. We keep the record of your email consent for as long as the law requires.
How we protect it
Your information is encrypted when it travels to us and where it's stored. Only named people can open the waitlist, and each of them signs in with two-step verification. We never ask for your passwords or one-time codes.
Your choices
- Stop emails. Use the unsubscribe link in any email, or write to us. You can withdraw your consent at any time.
- Leave the list. Write to us and we'll delete your details.
- See or correct your information. Ask us for a copy of what we hold about you, or ask us to fix something. We'll reply within 30 business days.
